Privacy notice for club submissions

This notice explains what happens to the information you send through /submit.

What we collect

The club details you type: name, city, estate, disciplines, audience, WhatsApp number, instructor, timetable, fees, description and any links.
One photo of the club.
Your name, your role and your email address.
Your three permission answers: photo rights, authority to submit, and permission to contact you.
The time of the submission and a keyed hash of the connection address used to limit repeated submissions. The raw address is not stored.

Why we use it

To check the club and decide whether to publish it.
To contact you about the submission and, after approval, to link the club to your account.
To stop the form being used to send repeated or automated submissions.
To show the club details and photo on the public listing if it is approved.

What other people see

If the club is approved, its name, location, disciplines, audience, timetable, fees, description, links, photo and the club's WhatsApp number can appear on the public listing and in the directory.

Your name, your email address and your role are not published. The photo stays private until the club is approved.

Who can see a submission

A submission is private. It is read by the administrator who reviews it, through the password-and-second-factor protected dashboard. The public site cannot read the submission table, and a pending photo cannot be opened from a public link.

Email

We send a confirmation to the address you give, and an approval message if the club is published. The email provider is Resend. We do not add you to a marketing list and we do not sell your address.

Retention

A submission is kept while it is being reviewed and while the club is listed. A fixed retention period has not been agreed yet, so this draft does not state one. If you want a submission or its photo removed, ask us and we will deal with it.

Your choices

You can ask what we hold about you, ask us to correct it, or ask us to delete a submission that has not been published. Message 254113262154 on WhatsApp with the club name and the email address you used.

Verification box

The form uses Cloudflare Turnstile to tell a person from an automated script. It may set a challenge cookie from challenges.cloudflare.com. The rest of the form does not use advertising cookies.

Changes

When this draft is reviewed, the final notice will replace it on this page. The date of the review will be added then.
